This Privacy Policy applies to the Vahan Manager application (available via mobile on Google Play and Apple App Store, and via web). Vahan Manager is developed to help vehicle owners and transport operators track vehicle documentation, PUC renewals, insurance policies, permits, accessory warranties, and service logs.

By using Vahan Manager, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

To provide accurate document tracking and alert notifications, we collect the following types of information:

A. Account & Profile Information

• Google Account Info: When signing in via Google Sign-In, we collect your name, primary email address, and profile picture URL as provided by Google OAuth.
• Direct Registration Info: Display name, email address, password hash (encrypted, never stored in plaintext), and business profile type (e.g. Individual, Fleet Operator, Transport, Travels).

B. Vehicle & Documentation Data

• Vehicle Details: Registration number (License Plate), vehicle label name, make, model, and manufacture year.
• Document Expiry Records: Expiry dates, reference numbers, and custom alert thresholds for PUC (Pollution Under Control), Insurance, Permits, RC (Registration Certificate), and Fitness certificates.
• Accessory & Warranty Records: Part names (e.g., GPS Tracker, Battery, Tyres), purchase dates, serial numbers, and warranty expiration dates.
• Service & Maintenance Logs: Service dates, total service costs, technician notes, and optional document attachment receipts/invoices uploaded by you.

C. Mobile Device & Usage Information

• Device Identification: Device model, OS version, and app version used to ensure push notifications and UI compatibility.
• App Performance Data: Anonymized crash logs and diagnostics to troubleshoot issues and optimize performance.

3. How We Use Your Information

We process your data strictly to fulfill application functionality and improve user experience:

• Expiry Alerts & Reminders: Calculating remaining days before document/warranty expirations and delivering timely email or push notifications.
• Subscription Plan Management: Enforcing vehicle tier limits (Free: 1 vehicle, Standard: 5 vehicles, Premium: Unlimited).
• Customer Support & Troubleshooting: Responding to user inquiries and diagnosing reported backend errors.
• Legal & Compliance: Maintaining transaction records and preventing fraudulent or unauthorized access.

4. Data Storage & Security

We employ enterprise-grade security standards to safeguard your information:

• Encrypted Transmission: All data exchanged between the mobile app, web app, and .NET API server uses 256-bit TLS (HTTPS) encryption.
• Secure Storage: Database credentials and OAuth secrets are encrypted at rest using industry standards (AES-256).
• Authentication Tokens: User authentication is managed using secure JSON Web Tokens (JWT) with restricted validity periods.

5. Third-Party Services

Vahan Manager integrates with trusted third-party service providers for essential features:

• Google Identity Services / OAuth: For secure Google single-sign-on. Subject to Google Privacy Policy.
• Cloud Infrastructure Services: Hosted on secured cloud servers with strict firewall access rules.

6. Your Rights & Data Control

You maintain full control over your personal data. You have the right to:

• Access and review all vehicle records, reminders, and warranty logs directly in the app.
• Update or correct your personal profile details and vehicle specifications at any time.
• Export or download your vehicle data summary report.
• Request complete deletion of your account and associated data.

7. Account & Data Deletion Policy

In compliance with Google Play Console Account Deletion Requirements, Vahan Manager provides two direct mechanisms to request full account and data removal:

Option A: In-App Deletion

Open Vahan Manager > Go to Settings > Scroll to Account Actions > Tap Delete My Account.

Option B: Web Request (No App Re-installation Required)

Deletion Execution: Once requested, all personal information, vehicle entries, reminder schedules, warranty logs, and service attachments are permanently removed from our active databases within 7-30 days.

8. Children's Privacy

Vahan Manager is designed for vehicle owners and drivers above the age of 18 (or legal driving age). We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided us with personal data, please contact us immediately for deletion.
